From Warehouse to Your Port
Once your order is confirmed and the product has been processed, tested, and staged in our warehouses, the export process begins. We handle every step from packaging through delivery, so you deal with one company, not a chain of freight agents and customs brokers.
Documentation
Indonesian spice exports require a specific set of documents, and destination countries often add their own requirements. Our export team manages the full documentation package:
- Certificate of Origin (COO) -- Issued by the Indonesian Chamber of Commerce, confirming product origin
- Phytosanitary Certificate -- Issued by Indonesia's quarantine authority (BKIPM), certifying the shipment is free from regulated pests and diseases
- Fumigation Certificate -- When required by the destination country, documenting treatment method, chemical used, and exposure duration
- Health Certificate -- For shipments to countries requiring additional food safety documentation
- Bill of Lading -- The shipping document that transfers title and enables customs clearance at destination
- Commercial Invoice and Packing List -- Detailed documentation of contents, weights, values, and lot numbers
- Certificate of Analysis (COA) -- Our lab results for the specific lots in the shipment, covering all tested parameters
For EU-bound shipments of mace and nutmeg, we proactively include aflatoxin test results from accredited laboratories, as these products face enhanced import controls under EU regulation.
Packaging for Export
Packaging is configured based on the product, buyer requirements, and destination market standards.
Bulk Packaging
The standard format for B2B spice trade:
- Jute bags -- Traditional, breathable packaging suitable for products like cloves that benefit from air circulation. Available in 25kg and 50kg configurations.
- Polypropylene (PP) bags -- With food-grade polyethylene inner liners for moisture protection. Standard for mace and nutmeg shipments.
- Vacuum packaging -- Available for high-value products or buyers requiring extended shelf life
Mandara Brand Packaging
Our branded product line is available in retail-ready packaging formats for distributors and re-packers. Custom labeling and sizing are available for volume commitments.
Custom and Private Label
For buyers requiring their own branding, we offer private-label packaging services. Minimum order quantities apply, and lead times include packaging material procurement.
All packaging materials are food-contact approved and selected for the specific product's storage characteristics.
Container Loading
How product is loaded into a shipping container affects its condition on arrival. We supervise every container load.
Our loading protocol:
- Container inspection before loading -- checking for cleanliness, structural integrity, odors, and moisture
- Dunnage placement to prevent shift during transit
- Product stacking patterns that distribute weight evenly and allow air circulation
- Weight verification against the declared gross mass, compliant with SOLAS VGM requirements
- Container seal application with documented seal numbers for security and chain of custody
For full container loads (FCL), we typically load 20-foot or 40-foot containers depending on order volume. Less-than-container-load (LCL) shipments are available for smaller orders or sample shipments.
Shipping and Logistics
We coordinate with major shipping lines to route your shipment efficiently.
- Port of loading -- Primarily from Indonesian ports with direct connections to major global trade routes
- Transit times -- Vary by destination. Typical ranges: 14-21 days to Middle East and India, 21-30 days to Europe, 25-35 days to North America
- Shipping terms -- We typically trade FOB (Free on Board) or CIF (Cost, Insurance, and Freight), depending on buyer preference. Other Incoterms available on request.
- Shipment tracking -- We provide vessel name, voyage number, and bill of lading details so you can track your container in transit
Customs and Compliance
Indonesian export regulations and destination-country import requirements are both managed by our team.
On the Indonesia side:
- Export customs clearance and declaration
- Compliance with Indonesia's export regulations for agricultural commodities
- Coordination with quarantine authorities for phytosanitary inspections
On the destination side, we support:
- Pre-shipment documentation configured for your country's import requirements
- Test results formatted to meet destination-market regulatory standards
- Communication with your customs broker or import agent as needed

Order Timeline
A typical export order follows this timeline from confirmation to delivery:
- Order confirmation -- Agreement on product, grade, volume, packaging, and shipping terms
- Lot allocation -- Specific warehouse lots are assigned to the order based on grade requirements (1-2 days)
- Pre-shipment sampling -- Final quality verification and buyer approval if required (2-3 days)
- Packaging and loading -- Product is packaged to specification and loaded into containers (2-4 days)
- Documentation and clearance -- All export documents are prepared and customs clearance is completed (2-3 days)
- Shipping -- Container moves to port and is loaded onto the vessel
- Transit -- Ocean freight to destination port
- Arrival notification -- We provide all documents needed for your import clearance
Total lead time from order confirmation to vessel departure is typically 7-14 days, depending on order complexity and any buyer-approval steps.
